Commercial Solar Cleaning Invoices: Line Items by Address, Sales Tax and Getting Paid

A residential invoice is simple. One address, one cleaning, a card charged on the spot. A commercial invoice has to survive an accounts payable department: it needs to match the quote, show which building each charge belongs to, carry the right tax, reference a PO number, and arrive in the right inbox. Get it right and you get paid. Get it wrong and it sits.

Commercial Bills Get Read Closely

The water notes in Water on Commercial Sites: Spigots, Pure-Water Systems and Notes for the Next Visit help a site run smoothly. The invoice is where all that work turns into money.

Commercial customers compare your bill against the approved estimate. If the line items match, it gets approved. If something is unclear, it goes back to the facility manager with a question, and then to you, and then back again. Every round trip delays payment.

The fix is consistency. Use the same service names on the quote and the bill, the same address labels on every statement, and the same format every quarter. Accounts payable clerks process hundreds of bills. When yours looks the same as last quarter's, with the same buildings and the same lines, it tends to go straight through. When it looks different every time, it tends to get questions.

Line Items From Your Service List

In SolarCleaningBossPro, invoices carry line items from your service list: per-panel cleaning, minimums, story and steep-pitch add-ons, bird proofing per panel, critter guards, inspection, and anything else you sell. Because the estimate was built from the same list, the invoice matches what the customer approved. The approved estimate became the scheduled job, and completing the job creates the invoice with those same lines.

If the crew did extra work on site that the manager asked for, add it as a line so the bill matches the work. Note who asked for it.

Labeled by Address

For a commercial client with several sites, every line is labeled with the address. A property owner can see that Warehouse B cost one amount and the North Carport another. That matters to owners who track costs per property and to managers who budget per building.

With Monthly billing, those lines roll up into one statement each month covering every site cleaned that month. See Monthly Statements per Account: One Bill for Every Commercial Solar Site for how that works.

Sales Tax

Invoices include sales tax. Whether cleaning is taxable, and at what rate, depends on where you work. Some commercial customers, like certain schools, churches and government buildings, may be exempt. Check with your accountant on how to handle tax for your area and for exempt customers, and set those accounts up the way they advise. Keep a note in a custom field on the client if they have given you an exemption certificate.

How Commercial Customers Pay

Commercial customers pay in different ways, and the software supports the common ones:

Ask on the first visit which one the customer wants, and set up the account to match. Bills in the US, Canada, Australia, New Zealand and the UK go out in the customer's own currency.

PO Numbers and Where to Send It

Two small details cause most delays. The PO number, and the recipient. Store both in custom fields on the client: the PO number, and the accounts payable email if it differs from the main contact. Check them at the start of each year, because PO numbers often expire with the fiscal year.

Past-Due Follow-Up

Even good commercial customers pay late sometimes. Statements land in a pile, a manager goes on vacation, an approval stalls. Past-due follow-up sends the reminder so you do not have to make the awkward call. If a bill stays unpaid, a short text to the facility manager from the office (“Our March statement for the four buildings is showing unpaid. Can you check whether it reached accounts payable?”) usually clears it up.

Clean Bills Keep Accounts

A bill that matches the quote, labels each building, carries the right tax and PO number, and arrives at the right inbox is one less reason for a customer to look elsewhere. To see how invoices fit with the rest of commercial work, go back to the commercial solar cleaning software page.
