How to Quote a Solar Panel Cleaning Job, Step by Step

Quoting a solar cleaning job should take minutes, not an afternoon. The trick is doing the same steps in the same order every time, so nothing gets missed and two people in your company land on the same price for the same roof. Here is a process that works for most residential jobs.

Start With the Big Picture

If you have not read it yet, Solar Cleaning Estimates: The Complete Guide to Quoting Solar Panel Cleaning covers why solar quotes are different and how the pieces fit. This article is the hands-on version: what to do, in order, when a homeowner calls, texts or fills out your website form.

1. Get the Address and Look at the Roof

Before anything else, get the full address and pull it up on a satellite view. In a minute or two you can usually see:

Write down your first count. It will either be confirmed or corrected in the next step.

2. Ask the Same Five Questions

Whether it is a phone call or a text thread, ask every customer the same short list:

  1. How many panels do you have? Many owners know. If not, ask whether they have the install paperwork handy, since it usually lists the module count.
  2. How many stories is the house? Confirm what you saw on the satellite view.
  3. Is the roof steep? A simple “can you walk on it comfortably?” gets a useful answer.
  4. Any birds or critters under the panels? Pigeons, nests or chewed wires point to bird proofing or critter guards.
  5. When were they last cleaned? A first cleaning after years of buildup can take longer than a regular one.

Ask for a photo or two of the roof if anything is unclear. Photos settle most questions about height, pitch and how dirty the glass really is.

3. Check Access Before You Price

Access changes the job. Ask where the outside spigot is, which side of the house has the easiest roof access, whether there is a locked gate and whether there is a dog. A pure-water system needs a water source, and a long hose run across a yard or up a third story adds time.

None of this needs to be a line item. It just helps you decide whether a story or steep-pitch add-on applies and whether the job fits your normal per-panel price. Keep the answers, because they will become access notes on the job later.

4. Build the Estimate From Your Service List

Now the price. Open a new estimate and pick lines from your service list rather than typing numbers from memory:

In SolarCleaningBossPro, those lines all come from the service list you set up once, and sales tax applies on the lines that need it. If you have not built your list yet, read Building Your Solar Cleaning Service List: The Prices Every Estimate Starts From.

5. Send It the Same Day

Speed matters in this trade. A homeowner who asked three companies for a price often goes with the first clear answer they get. Send the estimate while the call is still fresh, ideally before you hang up or within a few hours.

The customer opens the estimate from a link and approves it online. Tell them that on the phone: “You'll get a link in a few minutes. If it looks good, just tap approve and we'll get you on the schedule.” Customers who know what to expect are more likely to act on it.

6. Follow Up, Then Schedule

If the estimate sits unanswered for a few days, a short, friendly reminder brings many of them back. Two-way texting from the office lets the customer ask questions in the same thread, and those questions often turn into approvals.

When the customer approves, the estimate becomes the scheduled job. Enter the panel details on the job once (the panel count, roof or ground mount or carport, stories, pitch, extras and access notes) and they show on every visit after. Before you move on, ask whether they would like to be cleaned twice a year or yearly. A one-time job that turns into a plan is worth far more than the first visit.

Make It a Habit

The steps are simple. The value comes from doing them every single time: look at the roof, ask the same questions, price from the list, send it the same day, follow up and schedule. A new office hire can learn this in an afternoon, and your quotes stay consistent as the company grows.
