Quoting a Property Owner With Many Buildings
Some of the best customers in solar cleaning own more than one roof. A landlord with a dozen rental homes, a business with several locations, a church with a sanctuary and a school building, a farm with barns and a ground mount. One relationship, many arrays. Quoting them well means keeping every building clear and separate while making the whole package easy to approve.
One Customer, Many Roofs
Walking a Commercial Roof Before You Bid Solar Panel Cleaning covered the walk-through for a single commercial roof. A multi-building owner may have a mix: a couple of commercial roofs, some rental houses and a carport. The quoting approach is the same for each site, but the organization is what makes or breaks the account.
Set Them Up as One Client With Many Addresses
The first decision is how to set up the customer. In SolarCleaningBossPro, one client can have many addresses. That means:
- The owner's contact details and billing live in one place.
- Each building has its own address, placed on the map.
- Each building has its own job, with its own panel details and access notes.
- Each building can have its own cleaning schedule.
Avoid setting up each building as a separate client. You end up with the same owner entered several times, contacts that drift apart and bills that are hard to match. If you have a long list of addresses, a CSV import places them on the map automatically.
Gather the Details for Every Building
Ask the owner for a list of properties with addresses. For each one, you need the same basics as any quote:
- Panel count, from satellite view, photos or install paperwork.
- Mount: roof, ground mount or carport.
- Stories and pitch for rooftop arrays.
- Access: who lets you in, gate codes, spigot location, tenants to notify.
- Any birds, critters or damage worth noting.
For rentals, ask whether tenants should be contacted directly about cleaning day or whether everything goes through the owner. Write that in the access notes for each property.
One Estimate or Several?
Both work, depending on the owner:
- One estimate, a line per building. Good when the owner wants to approve everything at once. Label each line clearly by address, like “Solar panel cleaning — 412 Elm St (18 panels).”
- Separate estimates per building. Good when the owner wants to approve buildings one at a time, or when different people approve different sites.
Either way, every line comes from your service list, add-ons apply per building as needed, and the owner approves online. Clear labels matter more than anything else here. An owner with ten properties will not approve an estimate they cannot match to their own list.
Pricing the Package
Multiple buildings often justify a little flexibility, but keep it principled:
- Price each building on its own terms first, using your normal per-panel price, minimum and add-ons.
- Consider a modest multi-property saving if the buildings are close together and can be cleaned on the same day, since you save drive and setup time.
- Do not drop the minimum on small buildings that are far from the rest. The drive is still real.
- Keep extras optional per building. Bird proofing may be needed on one roof and not another.
Scheduling Many Buildings
Once approved, each building's estimate becomes a scheduled job. Enter the panel details on each job once. Set each building's plan: quarterly at 90 days for commercial arrays, twice a year at 180 days or yearly at 365 days for homes. Due cleanings show up on the Waiting List map, so you can see the owner's buildings that are due and group nearby ones onto the same truck and day.
Commercial buildings in the mix usually deserve a walk-through and a quarterly schedule of their own, priced as covered in Bidding Commercial Solar Panel Cleaning Work. Rental homes can usually be quoted from satellite view and photos like any other house. Mixing the two approaches under one client is normal, and it keeps each building priced for the work it really involves.
On the dispatch board, auto-route Closest First or Furthest First from the shop, or set the order by hand so the buildings are cleaned in a sensible run.
Billing Many Buildings
Owners with many buildings usually do not want a stack of separate invoices. Setting them to Monthly gives them one statement each month covering every building, with each line labeled by address. The details of quoting that arrangement are in the next article. To see how multi-building quotes and scheduling fit together, visit the solar cleaning estimate software page.
