Customer Communication in a Solar Cleaning Business: Reminders, Texts and Replies

Most customer complaints in a solar cleaning business are not about the cleaning. They are about not knowing. Not knowing when the truck was coming, whether the panels were actually done, what the charge was for, or why nobody answered a question. Good communication fixes most of that, and most of it can run on its own.

Communication Is Part of Getting Paid

A customer who knows exactly what happened and when pays faster and argues less, which ties straight back to Cash Flow in a Solar Cleaning Business: Getting Paid the Day the Panels Are Clean. A customer who is surprised by a charge disputes it.

Think about communication in three stages: before the visit, during the visit and after the visit. Each one has a job.

Before the Visit: Reminders

A reminder the night before is the single most useful message you send. It lets the homeowner unlatch the side gate, bring the dog inside, move the car blocking the spigot and know why someone is on the roof.

In SolarCleaningBossPro, customers choose their own alert preferences: the night before, when they are next on the route, and when the tech arrives. Automated reminders go out by text and email based on those choices. Nobody in the office has to send them by hand.

For recurring customers, a reminder also acts as quiet marketing. Every twice-a-year text reminds them that you are the company that handles their panels.

During the Visit: On the Way and Arrived

When the tech starts heading to a job, an on-the-way text goes out automatically. When the tech arrives, an arrived text follows. Customers do not have to wonder whether that is your truck in the driveway or a stranger on their roof.

The customer app goes further. Customers can see today's route on a live map: “You're stop 12 of 20 — the crew is 5 stops away.” That one line answers the most common call an office gets: “When will they be here?”

If something changes, such as rain, a locked gate or a roof that is too wet to work safely, the tech taps Skip with a note, the office sees it, and the customer gets a text from the office explaining what happens next.

After the Visit: Photos, Invoice and a Way to Reply

After the job, customers should be able to see what was done and what they paid. Before-and-after photos from the tech's phone stay with the job. The invoice, with line items and sales tax, shows in the customer app, along with online payment and their card on file.

Customers who want to check results can compare their own production app before and after the cleaning. Encourage it, but do not promise a specific number. Dirty panels produce less power in general, and the customer's own app is more convincing than any claim you could make.

Two-Way Texting From the Office

Customers text. They text questions, photos of bird nests, gate code changes and requests to move a visit. In SolarCleaningBossPro the office can text customers directly, and replies come back to the office instead of to one tech's personal phone.

A few rules keep texting useful:

Each plan includes a monthly text allowance of 500, 1,000 or 2,000 segments sent and received on Start, Pro and Crew. Texting is available for customers in the US and Canada.

Keep the tone consistent no matter who sends the message. Write a few standard replies for common questions, like how billing works, what to do about a dog in the yard, or how to move a visit, and have everyone in the office use them as a starting point. Customers should feel they are talking to one company, not to whichever person happened to pick up the phone.

Ask for Feedback and Act on It

Customers can rate their visit and refer friends from the customer app. Read every low rating and respond to it personally. A customer who complains and gets a fast fix often becomes one of your loyal ones. High ratings are your cue to ask for a public review, covered in Reviews and Referrals: Growing a Solar Cleaning Business by Word of Mouth.

SolarCleaningBossPro handles reminders, on-the-way and arrived texts, two-way texting and the customer app on every plan, from $59/month. More owner guides are on the solar cleaning business software page.
