Card on File for Solar Cleaning Customers: Getting It Captured Before the First Visit
The single biggest change most solar cleaning companies can make to their billing is not a better invoice. It is having a card on file before the truck rolls. With a card on file, finishing the job can mean getting paid for the job. Without one, every invoice is a request the customer has to remember to act on.
From Line Items to Payment
The last few guides were about what goes on the invoice, ending with Billing a Panel Inspection as Its Own Line on the Solar Cleaning Invoice. This one is about how the invoice gets paid. A clear invoice matters, but a clear invoice that is already paid matters more.
Why Card on File Fits Solar Cleaning
Solar cleaning has a few things in common with other home services that make card on file especially useful:
- The customer is often not home. Roof work does not need anyone to open a door. A crew can clean the array while the homeowner is at work, so there is nobody to hand a check to.
- Visits recur. A twice-a-year or yearly plan means the same customer pays again and again. Asking for payment the same way every time is slow; charging the card on file is not.
- Amounts are predictable. The panel count, roof and extras do not change much between visits, so the customer knows roughly what will be charged.
Capturing It at Sign-Up
The easiest moment to get a card is when the customer says yes. SolarCleaningBossPro has a website sign-up form that captures a card along with the customer's details. Sign-ups flow into Form Responses, and one click converts a sign-up into a client, with the card already on file.
On your website, explain it simply: “We keep your card on file and charge it when your cleaning is complete. You'll get an invoice and photos either way.” Most customers are used to this from other services. What they want to know is when they will be charged and how to change the card.
Capturing It in the Customer App
Not everyone signs up through your website. Customers who called, were referred by a neighbor or came over from your old paper system can add a card in the customer app. The same app shows their route on service day, their invoices and their alert preferences, so adding a card fits in naturally.
For customers who came from estimates, send the app link with the approved estimate. “Your cleaning is booked. Add a card in the app and we'll charge it when the job is done.”
Moving Existing Customers Over
If you have a list of customers who pay by check or by invoice today, do not try to move them all in one week. Work through them as their cleanings come due on the Waiting List:
- Text a few days before the cleaning with the app link and a short ask to add a card.
- On the invoice after the cleaning, include the same link with a reminder that future visits can be charged automatically.
- Let the ones who prefer paying by hand keep doing it. They can still pay online from the customer app.
Within one cleaning cycle, most of your recurring customers will have a card on file, and the ones who do not will be the exceptions you know about. The guide Moving Solar Cleaning Billing Off Paper and Spreadsheets covers the rest of the switch.
Never Write Card Numbers Down
Plenty of small solar cleaning companies still keep card numbers on paper, in a notes field or in a spreadsheet. Stop. A card number written down is a liability for you and a risk for the customer. With card on file in the system, nobody on your crew or in your office ever needs to see or type a full card number. If a customer offers to read their card over the phone, send them the app link instead.
Tell Customers When They Will Be Charged
Surprise charges cause most card-on-file complaints. Be clear about timing: charged when the cleaning is complete, or on a set schedule. SolarCleaningBossPro supports both. The night-before alert and the on-the-way text tell the customer the visit is happening, and the invoice that follows completion tells them what was charged. A customer who knows all three rarely disputes anything.
The next guide, Auto-Charge at Completion: Getting Paid When the Solar Cleaning Tech Taps Complete, covers what happens at that moment. For the full billing picture, visit the solar cleaning billing software page.
