Invoicing Solar Panel Cleaning Jobs: What Every Invoice Needs to Say
An invoice has one job: get the customer to pay the right amount without picking up the phone. Every question a customer has to ask before paying is a day of delay. A good solar cleaning invoice answers those questions before they come up.
Start With the Big Picture
This guide is the nuts and bolts. For how invoices fit with card on file, auto-charge, statements and past-due follow-up, start with Solar Cleaning Billing Software: The Complete Guide to Invoicing and Getting Paid for Panel Cleaning.
Here we are looking at a single invoice for a single cleaning, the kind a homeowner on a twice-a-year plan gets after every visit. If that one invoice is clear, everything built on top of it gets easier.
Who, Where and When
The top of the invoice should leave no doubt about which job it is for:
- The customer's name, spelled the way they spell it.
- The service address. Many customers own more than one property, and a landlord with three rentals needs to know which roof got cleaned.
- The date of service, not just the date the invoice was created. If a job is done Tuesday and invoiced Friday, the customer remembers Tuesday.
- An invoice number they can quote if they call or reply by text.
In SolarCleaningBossPro, one client can have many addresses, and the invoice is tied to the job at that address. The landlord sees exactly which rental was cleaned.
What Was Done
This is where solar cleaning invoices usually fall short. “Solar panel cleaning — $180” tells the customer nothing. They do not know if that covered all their panels, whether the price changed since last time, or why their neighbor paid less.
A better invoice lists the work the way it was quoted: the number of panels cleaned at your per-panel price, any minimum charge, the add-on for a 2-story or steep roof, and any extras like bird proofing, critter guards or an inspection. SolarCleaningBossPro builds those lines from your service list and from the panel details stored on the job, so a 24-panel, 2-story roof shows up the same way on every invoice for that customer. The details of each line are covered in the next guide, Line Items Customers Understand: Panels, Minimums and Add-Ons on a Solar Cleaning Invoice.
Tax, Total and Status
Below the line items come three things customers look at first:
- Sales tax, if your area taxes cleaning services. Set the rate once and apply it the same way every time. A tax line that appears on one invoice and not the next generates calls. More on that in Sales Tax on Solar Cleaning Invoices: Set It Once and Let Every Invoice Carry It.
- The total, clearly separated from the subtotal.
- The payment status. If the card on file was charged when the tech tapped Complete, the invoice should say paid. A customer who sees a total but no status will wonder whether they owe it, and some will pay twice.
How to Pay
If the invoice is not already paid, tell the customer how to pay it, and make that as easy as possible. In SolarCleaningBossPro, customers see their invoices in the customer app and can pay online right there. They can also add or update the card on file in the same place, so the next cleaning is charged automatically.
Avoid long payment instructions. “Pay in the app” beats a paragraph about mailing addresses and check payees. If you still take checks from a few long-time customers, that is fine, but the default should be the fast path.
Send It Right Away
The best time to send an invoice is the moment the work is finished. The customer may have been home and seen the crew. They can see clean panels from the yard. If they compare their production app before and after, they want to see the job they are being billed for. Three weeks later, the same invoice feels like a surprise.
That is why SolarCleaningBossPro creates the invoice when the tech taps Complete on their phone. There is no stack of jobs waiting for someone to type them up on Sunday night. If the customer has a card on file, it can be charged right then.
A Simple Test for Every Invoice
Before you settle on how your invoices look, run this test. Hand one to someone who has never seen your business and ask three questions: What was done? How much is owed? How do I pay? If they can answer all three in ten seconds, the invoice is doing its job.
