Importing Your Customer List Into Solar Panel Cleaning Software With a CSV
Typing in two hundred customers by hand is nobody's idea of a good weekend. If your customers live in a spreadsheet, or in a system that can export one, you can bring them over in one import. A little cleanup before you import makes the difference between a list you can schedule from right away and one you spend a week fixing.
The Import Is the First Step of Switching
Switching to New Solar Panel Cleaning Software Without Losing Track of Customers laid out the overall plan. This article zooms in on the import itself: what a CSV is, how to tidy it, and what to do once the customers are in.
What a CSV Is
A CSV is a plain spreadsheet file, saved so that each row is one record and each column is separated by a comma. Any spreadsheet program can save one: open your customer list and choose to save or export it as CSV. Most field-service and booking tools can export one too.
SolarCleaningBossPro takes that file and turns each row into a client with an address. The addresses are placed on the map automatically, so as soon as the import finishes you can see where your customers are.
Clean the File First
Ten minutes of cleanup saves hours later. Before you import:
- One row per customer address. If one customer has two properties, decide whether those become two addresses under one client.
- Split the address into columns. Street, city, state or province and ZIP or postal code in their own columns place more reliably than one long address cell.
- Remove duplicates. The same customer entered twice with slightly different spellings is the most common problem. Sort by phone number or street to find them.
- Fix phone numbers and emails. These drive texts and email alerts, so a typo means a missed reminder.
- Drop the dead rows. Customers who moved away or asked not to be contacted do not need to come over.
Check the Map
After the import, look at the map. Pins in the right neighborhoods mean the addresses came in clean. A pin in the wrong town, or in the middle of nowhere, usually points to a typo in the street or ZIP. Fix those addresses on the client record.
This is also a good moment to spot duplicates the cleanup missed. Two pins on the same house are almost always the same customer entered twice. Keep one record, remove the extra, and do it before you start scheduling, or the same house may come due twice.
Add the Solar Details
Your spreadsheet probably did not have every solar field in neat columns, and that is fine. After the import, go through the customers and add:
- Panel details: number of panels, mount, stories, pitch and extras
- Access notes: spigot location, roof access side, gate code, dog
- Recurring plan: 180 days for twice a year, 365 for yearly, 90 for quarterly
- Tags: Residential, Commercial, Twice a Year
Start with the customers due soonest. You do not have to finish everyone on day one; anyone you have not filled in yet can be completed on their next visit, with the tech confirming the panel count and access on site.
Group Clients With Many Properties
Property owners and businesses with several sites should end up as one client with many addresses, not several separate clients. If your spreadsheet listed each building as its own row with the same owner, sort that out in the file before importing, or set those buildings up as addresses under one client afterward. That is what lets a property owner set to Monthly get one statement covering every building. More on organizing clients in Clients, Addresses, Tags and Custom Fields in Solar Panel Cleaning Software.
What Does Not Come Over in a CSV
A CSV carries text: names, addresses, phone numbers, notes. It does not carry cards on file, and it does not carry old photos. Plan to collect cards again through the customer app or your sign-up form, and let the new system start building photo history from the next cleaning.
From Spreadsheet to Schedule
Once the list is in, the details are added and the plans are set, your customers start showing up on the Waiting List as they come due. That is the moment the spreadsheet stops being your system and becomes a backup. To see everything that happens after the import, go to the solar panel cleaning software overview.
