A Day in Solar Panel Cleaning Software: From Quote to Paid Invoice
Feature lists only go so far. The easiest way to understand solar panel cleaning software is to follow one customer through it, from the first request to the next cleaning six months later. Here is that path in SolarCleaningBossPro, step by step, the way a real company runs it.
Why Follow One Job
Solar Panel Cleaning Software vs. Spreadsheets, Paper and Group Texts made the case that one record beats five tools. This is what that one record looks like as it moves through a day. The customer is a homeowner with a two-story house and a rooftop array, and they found you through your website.
Step 1: The Request Comes In
The homeowner fills out the request form on your website. It lands in Form Responses in the office. If they used the sign-up form instead and entered a card, one click converts them into a client with the card on file.
The office looks at the address on the map, asks a couple of questions by text (how many panels, one story or two, any birds nesting under the array), and has what it needs for a quote.
Step 2: Quote and Approval
The estimate is built from your service list. In this example:
- 24 panels at a per-panel price, such as $6 a panel
- A 2-story add-on
- Bird proofing priced per panel
If the panel total came in under your minimum charge, the minimum would apply instead. The estimate goes out, the customer opens it and approves it online. No chasing a reply. The approved estimate becomes the scheduled job, and the panel details from the quote are already on it: “24 panels · Roof · 2-story · Low pitch · Bird proofing.” More on this step in From Quote to Scheduled Job: How Solar Panel Cleaning Software Connects the First Steps.
Step 3: Scheduled and Routed
On the dispatch board, the job goes onto Truck 1 for Thursday. Thursday already has eleven homes on it. Auto-route sorts them Closest First from the shop, and the office drags one stop up because that customer asked for a morning visit. The tech's phone will show the same order.
The night before, the customer gets the reminder they chose, by text or email.
Step 4: The Tech Runs the Route
Thursday morning, the tech logs into the tech app with the company login and a personal PIN. The day is in route order. At our homeowner's stop, the card shows the panel details and the access notes: “Spigot left side of garage. Ladder on back patio. Gate code in notes. Small dog.”
The customer gets a text when they are next and another when the tech arrives. They can also open the customer app and watch the crew on a live map: “You're stop 6 of 12 — the crew is 2 stops away.” The tech taps Start, takes before photos, sets up fall protection, cleans with soft brushes and pure water, takes after photos and taps Complete.
Step 5: Invoice and Charge
Complete creates the invoice with the line items from the job and sales tax. The card on file is charged. The customer gets the invoice and can see it in the customer app, rate the service and refer a neighbor.
If a customer has no card on file, they pay online from the customer app, and past-due invoices are followed up automatically. Either way, nobody types an invoice that night.
Step 6: The Next Cleaning Comes Due
This homeowner signed up for twice-a-year cleanings, so the plan is set at 180 days between visits. Nothing happens for months. Then the address reappears on the Waiting List, pinned on the map as due now, with the same panel details and access notes. If it sits past a 7-day grace, the pin turns overdue so it cannot get missed.
That loop is the heart of a solar cleaning business, and it is covered in The Waiting List: How Solar Panel Cleaning Software Shows Every Cleaning That Came Due.
What the Office Did All Day
Look back at that day and count what nobody had to do: type a quote, chase an approval, re-enter panel details, text a reminder, call the tech for a gate code, write an invoice, run a card, or remember the next cleaning. The office spent its time answering texts and filling the next week. To see every piece of this on one page, visit the solar panel cleaning software overview.
