Moving Solar Cleaning Techs Off Paper Job Sheets and the Group Text

Plenty of solar cleaning companies still run on a printed job sheet, a spreadsheet and a group text. It works, mostly. The sheet is printed at night, the gate codes are somewhere in the group text, and the owner answers questions all day. The trouble shows up as the company grows: sheets out of date by 9am, codes nobody can find, invoices written up on Sunday night. Moving to the tech app fixes that, and it does not have to be a big disruption.

More Trucks, More Paper

Running two trucks, as in Two Trucks, Two Routes: Splitting Homes and Commercial Arrays in the Solar Cleaning App, is often the point where paper breaks down. Two printed sheets, two sets of changes, two group texts. If you are there, or about to be, this is the time to switch.

What Paper and the Group Text Get Wrong

Step 1: Get Customers In

Start with your customer list. If it is in a spreadsheet, a CSV import brings in clients and addresses, and imported addresses are placed on the map automatically. A client with several properties gets one record with many addresses.

Then add the panel details to each job: panel count, mount, stories, pitch and extras. Do your busiest and most complicated customers first. Copy gate codes, spigot locations and ladder notes out of the group text and the old sheets into the access notes on each job. This is the most tedious step, and the one that pays off the most.

Step 2: Set Up Plans and Trucks

Put recurring customers on plans by minimum days between visits: 180 for twice a year, 365 for yearly, 90 for quarterly commercial arrays. From then on, they come due on the Waiting List on their own. Add employees with personal PINs and assign them to trucks.

Step 3: Run One Week Side by Side

For the first week, some owners print the sheet as a backup while the crew uses the app. That is fine. Have techs log in with their PIN, follow the route on the phone, tap Start and Complete, and take photos. By the end of the week, most crews have stopped looking at the paper. When they do, stop printing it.

Use that week to fix gaps. When a tech arrives and finds the card missing a spigot location or a ladder spot, they write a note, and the office fills in the access notes that evening. By the second time through your customer list, most cards are complete without anyone having sat down to type them all in at once.

New techs learn the app fastest in a ride-along. The plan is in Training a New Solar Cleaning Tech on the App in One Ride-Along.

Step 4: Retire the Group Text

The group text is harder to give up than the paper, because it feels faster. Replace each thing it did:

Keep a group chat for social things if the crew likes it. Just take customer information out of it.

Step 5: Let Complete Do the Billing

Once techs are tapping Complete at each job, turn on invoices at completion and charging the card on file. Ask existing customers to add a card in the customer app. Sunday night invoicing ends.

What You Get Back

After a few weeks, the owner stops answering “what is the gate code” calls, invoices go out as jobs finish, photos are on every job and recurring customers come due without a calendar. Plans start at $59 a month on Start, and every plan includes the tech app. For more on what the phone does, visit the SolarCleaningBossPro solar cleaning app page.
